Hyvä tutkija / Dear Researcher [In English below]

Have you ever found it tricky or laborious to write a data management plan (DMP) for your research project? Or have you perhaps got some ideas on how your DMP work could be made easier and less time-consuming?
At the University of Oulu, in the Faculty of Information Technology and Electrical Engineering, they are developing a digital DMP template. The aim is for the template to be a researcher friendly as possible. The project is now at a stage where researchers are invited to test the template.
This tool is still under development and research. The University of Oulu has not yet decided on its adoption. Now is the time to make an impact by testing and providing feedback!
- the test uses the Fair Wizardhttps://fair-wizard.com/ data management tool - the entire testing process and giving feedback will take about an hour - the test can be paused and resumed later - you can use your existing data management plan or simply test the usability - Note! the template is still under development, and you cannot use it to compile a complete DMP
In order to start the user test, please enroll in the test by filling out the ITEE DMS user tests Personal data processing consenthttps://link.webropolsurveys.com/Participation/Public/81ae6a68-54c5-4107-99f6-77f7df6b22e5?displayId=Fin3362025 and learn about ITEE DMS user tests Data privacy noticehttps://drive.google.com/file/d/1aMqr9-hq0lSRZhRPhWZapnnJoY7emOXB/view. After that, you will receive an email with your Fair Wizard account information and testing instructions.

Dear University of Oulu researchers, Have you ever found it tricky or laborious to write a data management plan (DMP) for your project? Or have you perhaps got some ideas on how your DMP work could be made easier and less time-consuming? Machine-actionability has a significant potential to simplify DMP processes and make them easier, faster and more useful to researchers. In ITEE Data Management System development project (ITEE DMS) of the Information Technology and Electrical Engineering faculty (ITEE), we aim to address challenges related to researchers’ DMP work by means of digitalisation and machine-actionability. We are currently launching ITEE DMS user tests of digital DMPs, to better understand researchers’ requirements regarding DMP tools and their features, as well as explore the type of support researchers need when writing the DMP. EXAMPLE: Machine-actionability helps researchers with storage requests. Currently, if you need extra storage space for your research data, you have to write an email to ask ICT services—and this can take time, especially if there are follow-up questions. With a machine-actionable DMP (maDMP), you can just enter how much storage you need (like 2 TB) directly in your plan. The system then automatically sends this information to ICT services in standard format, so they can start handling your request right away. This saves time, avoids extra emails, and makes the whole process smoother and more effortless. We invite you to participate in ITEE DMS user tests. As a voluntary test user, you can contribute to data management and DMP tool development activities in the University of Oulu (UO). In ITEE DMS user tests you will have an opportunity to communicate us your thoughts on what a good DMP tool is like and what type of support you would need for your research data management. Participation in the user tests does not require of you currently running an own research project —what is called for is just some experience in the researcher’s tasks and research data handling. In ITEE DMS user tests, we employ Fair Wizardhttps://fair-wizard.com/ data management tool for trying out different types of digital DMPs. If you like to learn about this tool before testing, watch the recording of our Fair Wizard demohttps://oulu.cloud.panopto.eu/Panopto/Pages/Viewer.aspx?id=c9d352d5-dc4a-4f98-8a7c-b2b400bfc7e1 that was given in Science IT Cafe on April 3rd. You may also have a look at the Fair Wizard demo presentation slideshttps://drive.google.com/file/d/1kU2FaiXTsMYTQFwEqy_nGVlMrXFFdv_L/view?usp=sharing. What are the ITEE DMS user tests like and what are you expected to do in them? If you decide to attend ITEE DMS user tests, you will try out online two DMP templates by filling out selected parts of these templates. After this, you will be asked to give feedback on the templates through a feedback questionnaire. In the feedback questionnaire, we also present you some future maDMP use cases and ask you to assess their usefulness to your work. The test duration is approximately one hour. You may attend the user tests anytime by July 7th 2025, independently and in your preferred location. For the testing, you will be provided with a temporary user account of Fair Wizardhttps://fair-wizard.com/ data management tool. In order to start the user test, please enrol in the test by filling out the ITEE DMS user tests Personal data processing consenthttps://link.webropolsurveys.com/Participation/Public/81ae6a68-54c5-4107-99f6-77f7df6b22e5?displayId=Fin3362025 and learn about ITEE DMS user tests Data privacy noticehttps://drive.google.com/file/d/1aMqr9-hq0lSRZhRPhWZapnnJoY7emOXB/view. We will then email you your Fair Wizard account information and testing instructions. User test results will help us to design user-friendly maDMP templates and make the UO data management operations more streamlined and useful to our researchers. We also aim to gather information on how maDMP content could be utilised in our service provision for offering services and tools to researchers automatically and timely based on their needs during the research project.
