Certian kanssa on sovittu käynnistettäväksi kuukauden mittainen projekti lokakuussa, jolla parannetaan yliopistolle tulevien laskujen perustietojen oikeellisuutta ja viitetietoja nopeuttaaksemme laskujen kiertoa ja helpottaaksemme laskun käsittelijöiden työtä.
Tilattaessa tavaraa tai palveluita yliopiston nimissä on tärkeää ilmoittaa yliopiston laskutusosoite. Emme ota organisaationa vastaan enää sähköpostilaskuja tai laskuja, jotka tulevat johonkin muuhun osoitteeseen kuin yliopiston laskutusosoitteeseen. Lasku tulee pyytää verkkolaskuna tai yliopiston laskutusosoitteeseen mikäli toimittaja ei voi verkkolaskuja lähettää. Liitteenä on laskutustiedote, jossa yliopiston laskutusosoitteet.
Jatkossa tilauksen yhteydessä ilmoitetaan aina viitetieto. Viitetietona ilmoitetaan joko kustannuspaikka, projektinumero tai sisäinen tilaus. Tämä tieto kannattaa pyytää laittamaan "Viitteenne"-kohtaan. Tämä tieto on tärkeä, jotta laskulta nähdään suoraan kustannuskohdiste eli se tieto, mihin kyseinen kulu kirjataan. Tämä nopeuttaa laskujen kiertoa Martissa, kun lasku voidaan heti käsittelyn ensi vaiheessa tiliöidä tilausvaiheessa annetun tiedon perusteella. Lisäksi sopimusnumero ja/tai tilausnumero ilmoitetaan, jos sellainen on tiedossa.
Liitteenä Certian laatima kuvaus ("Laskuvaatimukset") siitä, että mitä toimittajalle on ilmoitettava tilauksen yhteydessä. Lisäksi liitteenä perusvaatimukset ("YOperusvaatimukset tilausvaihe") siitä, että mitä ilmoitetaan tilauksen yhteydessä ja mitä tietoja yliopistolle tulevassa laskussa täytyy olla, jotta lasku voidaan maksaa.
Mikäli tilaatte palvelua yksityiseltä elinkeinonharjoittajalta, niin tulee tältä pyytää liitteissä mainittu YEL-todistus. Tähän liittyen on liitteenä Certian ja Kevan tiedotteet asiasta, jotka voi toimittaa siinä yhteydessä, kun palvelua tilataan yksityiseltä elinkeinonharjoittajalta.
