Ohjeita väitöstilaisuuksien järjestämiseen koronaepidemian aikana [17.3.2020]
Koska väitöksen on oltava julkinen, väitöstilaisuus tulee järjestää etukäteen ilmoitettuna aikana ja etukäteen ilmoitetussa paikassa. Väittelijän ja kustoksen on välttämätöntä olla paikalla, muutoin tilaisuus on peruttava. Vastaväittäjä osallistuu väitöstilaisuuteen lähtökohtaisesti videoetäyhteydellä. Yhteyden tekninen toimivuus tulee huolella tarkistaa ennen tilaisuutta ja teknisen tuen saatavuus koko tilaisuuden ajan tulee varmistaa. Yleisölle tarjotaan mahdollisuus seurata tilaisuutta ja esittää väittelijälle kysymys vain videoetäyhteydellä. Etäyhteys tarkoittaa tilaisuuden reaaliaikaista streamausta sopivan ohjelmistoteknologian avulla. Tilaisuutta ei tule tallentaa jakelua varten. Äkillisen tilanteen sattuessa yksittäisen väitöstilaisuuden toteutumisesta tai peruuntumisesta päättää kustos. Kahvitilaisuus ja karonkka eivät ole osa virallista väitöstilaisuutta ja niistä päättäminen on väittelijän vastuulla. Vahvasti suositellaan, että epidemian tässä vaiheessa niitä ei järjestettäisi.
Nämä ohjeet ovat voimassa 13.4.2020 asti.
Lisäksi muutamia käytännön ohjeita:
• Yleisölle tulee selkeästi etukäteen ilmoittaa paikka, jossa väitöstilaisuutta voi seurata. Käytännössä mahdollisia ovat erityisesti videokokousohjelmistot Zoom ja Teams. Linkki kokoukseen tulee ilmoittaa selkeästi. Linkki tulee toimittaa hyvissä ajoin myös yliopiston tiedotukseen, jotta se voidaan tiedottaa yliopiston sivuilla väitöstiedotteen yhteydessä ennen väitöstilaisuutta.
• Kustoksen ja väittelijän kanssa samassa salissa saa olla tekninen tuki sekä kustoksen niin järjestäessä henkilö, joka seuraa mahdollisia yleisökysymyksiä ja tiedottaa niistä kustokselle heidän sopimallaan tavalla.
• Opponentti osallistuu väitöstilaisuuteen lähtökohtaisesti etänä valitun videokokousohjelmiston välityksellä. Jos vastaväittäjä kuitenkin haluaa ja kykenee saapumaan paikan päälle, niin se on mahdollista.
• Yleisö osallistuu etänä videokokousohjelmiston välityksellä.
• Mahdollisen yleisökysymyksen esittäminen chatitse riittää. Kysymystä ei ole välttämätöntä suusanallisesti.
• Linnanmaalla etäyhteyssaleja ovat L2-L10.
• Fyysisen tilaisuuden ei ole pakko olla yliopiston tiloissa.
As the doctoral defense is a public event, it needs to be organized at a specific time and location notified in advance. It is necessary that the doctoral candidate and custos are present, otherwise the defense needs to be cancelled. The default is that the opponent takes part via a video connection. The technical function needs to be checked carefully before the event, and technical support needs to be secured for the whole time of the defense. For audience, there will be a possibility to follow the defense and ask questions from the candidate only via remote connection. The remote connection means real-time streaming by using a suitable software. The defense is not to be recorded for distribution. In an urgent situation, the custos will make the decision to have or cancel the defense. The defense coffee and karonkka (the alter-defense party) are not parts of the official doctoral defense, and the doctoral candidate decides on these. A strong recommendation is not to organize coffee or karonkka at this time.
These instructions are valid until 13th April 2020.
In addition, a few practical instructions have been given:
* The audience needs to be informed clearly and in advance where the defense can be seen. In practice, video conferencing tools like Zoom or Teams are possible. The link to the meeting needs to be notified clearly and it needs to be delivered to the university communications office (together with the press release materials) so that the information will be made available before the defense * Only tech support is allowed to be in the same room with the custos and the doctoral candidate. In addition, if the custos so arranges, it is possible to have a person in the room who will observe if there will be a question from the audience, and who will notify the custos about this in a way that they have agreed. * The opponent will participate remotely via video conferencing connection. If, however, the opponent is willing and able to come to the defense location, this is possible. * The audience will participate remotely via video conferencing connection. * It suffices to make the possible question from the audience via chat. It does not need to be oral. * In Linnanmaa, the remote connection rooms are L2-L10. * The defense does not have to take place at the university premises.
